Oregon Weed Wash LLC ("we," "us," or "our") operates a dispatch and crew-management system for our contracted operators and subcontractors. This policy explains what information we collect, how we use it, and how we protect it.
Information we collect
When you work with us as an operator or subcontractor, we collect information you provide during onboarding and during the course of our working relationship, including your name, mobile phone number, email address, mailing address, driver's license information, vehicle information, certification records, and records of deployments and shifts worked.
How we use your information
We use this information to coordinate deployments, communicate operational updates, send deployment and demobilization reminders, manage paperwork and compliance, process payment for work performed, and otherwise administer our working relationship with you. We may contact you by email and SMS text message for these purposes.
Payment and banking information
We do not collect or store your bank account or routing numbers. When you are approved and dispatched, we create a contractor record for you in QuickBooks, and Intuit invites you directly to enter your own tax and direct-deposit information into their secure system. That information goes to Intuit, not to us. We can see only that your payment details are on file — never the details themselves.
We collect and retain your taxpayer identification information only to the extent required to issue year-end tax documents such as IRS Form 1099-NEC.
SMS and text messaging
If you provide your mobile number and opt in, we may send you operational text messages including deployment offers, dispatch notifications, and demobilization and paperwork reminders. Consent is optional and is never a condition of working with us. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP. Reply HELP for help. No sharing for marketing
We do not sell your personal information. We do not share your information — including your mobile number or the fact that you opted into SMS — with third parties or affiliates for their marketing purposes. We share information only with service providers who help us operate our system, and only as needed to provide the service.
Connected business systems
Our internal tools connect to third-party business systems that we use to run the company, including our accounting system (Intuit QuickBooks Online), our database and dispatch platform, our email and calendaring provider, and our messaging provider. Where our software connects to an accounting system, it reads and writes only the records needed to administer contractor onboarding, deployment tracking, invoicing and payment — for example creating and updating your contractor record. We do not use data obtained from these connected systems for advertising, and we do not sell it or transfer it to third parties except as needed to operate the service or as required by law.
Disconnecting and data deletion
An authorized administrator may disconnect our software from any connected business system at any time, from within that system's own settings or from our administrative tools. On disconnection we stop accessing that system and delete the stored authorization credentials. Records already written into that system remain there under that provider's own terms, and records we are required to keep for legal, tax or contractual reasons are retained as described below. How we protect information
Access to our systems is limited to authorized personnel. Credentials and authorization tokens are stored as encrypted secrets, transmitted only over encrypted connections, and rotated when personnel or systems change. Administrative actions against operator records are logged.
Data retention
We retain your information for as long as you work with us and for as long as required afterward for legal, tax and contractual purposes.
